Stay organised with Titan Tasks

Titan Tasks transforms important emails into actionable tasks, making it easier to follow up on client responses, monitor pending replies, and stay on top of daily priorities. 

In this guide, you'll learn how to access Tasks, create and manage task lists, set due dates, organise your workload, and keep important actions linked to the relevant email conversations.

How Titan Tasks keeps you organised

Titan Tasks keeps track of important work and ensures nothing falls through the cracks. It helps you: 

  • Follow up on important emails 
  • Monitor pending customer responses 
  • Set and manage personal reminders 
  • Organise and prioritize your workload 
  • Keep action items connected to their original email conversations

 

Examples of tasks:

  • “Reply to client proposal” 
  • “Send invoice tomorrow” 
  • “Follow up on support request” 
  • “Schedule team meeting” 

Because tasks are linked directly to email conversations, you can quickly return to the original message whenever you need additional context. 

 

Access Titan Tasks

Log in to your Titan Webmail. After you log in, you can open Tasks either from the sidebar or through the Apps menu.  

  • From the Sidebar
  1. Click on the dropdown left side of the Titan Email sidebar. 
  2. Select Tasks.
  • From the Apps section/icon 
    You can also open Tasks in a dedicated full-screen view by: 
  • Opening Tasks from the App Switcher.
  • Clicking the expand icon in the Tasks sidebar.

The Tasks app opens in a new browser tab and shows all your tasks by default.

 

Create a task 

You can create tasks in multiple ways depending on your preferred workflow. Tasks can be created from emails, from the Tasks panel, or directly from the full Tasks application. 

  

Create a task using quick actions

Quick Actions allows you to create a task directly from your message list. 

  1. Hover over an email in your mailbox. 
  2. From the Quick Actions section, select Add to Tasks (✓)
  3. In edit mode, add your due date and notes
  4. Click anywhere outside the Task card or press Enter to save your task.

 

 

After the task is created: 

  • The email subject is automatically used as the task title. 
  • The system automatically adds a link to the original email thread.

 

Convert an email into a task

You can turn any email into an actionable task directly from your inbox. 

  1. Open the email you want to track. 
  2. Click on the More Actions (•••) menu. 
  3. Select Add to Tasks (✓)
  4. In edit mode, add your due date and notes
  5. Click anywhere outside the Task card or press Enter to save your task. 

 

After the task is created: 

  • The email subject is automatically used as the task title.   
  • A shortcut link to the original email is attached automatically. 

 

Create a quick task from the Tasks sidebar 

You can quickly add a task without opening an email. 

  1. Select Apps from the top menu, click Tasks
  2. Click Add a Task
  3. Enter a task title. 
  4. Add your due date or description
  5. Click anywhere outside the Task card or press Enter to save your task. 

 

Create a task from the full Tasks application

You can also create tasks from the dedicated Tasks workspace. 

  1. Open the full-screen Tasks app. 
  2. Click Add a Task
  3. Enter a task title. 
  4. Add your due date or description
  5. Click anywhere outside the Task card or press Enter to save your task.

 

 

Add due dates and notes

In your task, you can add extra details to help you manage tasks more effectively. 

Due Dates: When you add a due date, tasks are automatically grouped into categories such as: 

  • Overdue 
  • Today 
  • Later 
  • No Date 

These details make it easier to focus on urgent and upcoming work. 

 

Notes: You can add the following descriptions:  

  • Reminder details 
  • Instructions 
  • Meeting notes 
  • Follow-up information 

 

Organise your tasks 

You can sort your tasks in different ways to help you manage your workload and focus on the items that matter most. 

Here's how you can choose a sorting option: 

  1. Click the Apps icon from the top menu 
  2. Select Tasks
  3. Click on the three-dots (︙) menu. 
  4. Select your preferred view: 
  • Date created 
    This is the default view. Select this to display the newest items first, and their position remains unchanged after editing.
     
  • Due Date 
    Select this to group by deadline categories, including: 
  • Overdue 
  • Today 
  • Later 
  • No Date 

Empty sections are hidden automatically, and you can expand or collapse sections as needed.
 

  • My Order 
    Select this to manually arrange tasks using drag-and-drop. This option helps you prioritise important tasks, customise your workflow, and reorder tasks based on your preferences.

 

Complete and reopen tasks 

You can mark tasks as completed when your work is finished and reopen them later if additional action is required.

 

Marking Tasks as Completed 

To complete a task: Click the checkbox beside the task 

Completed tasks: 

  • Are hidden from the sidebar task list 
  • Remain available in the full Tasks app 

This helps keep your active workspace clean and organized. 

  

Reopening Completed Tasks

You can reopen completed tasks anytime if additional work is needed. 

 

Using Tasks with your Calendar

The sidebar also includes a Calendar tab, allowing you to manage tasks and events from a single location. 

By using Calendar, you can:

  • View today’s schedule 
  • Create calendar events 
  • Edit existing events 
  • Open the full calendar view in a new browser tab 

This allows you to manage both tasks and events from one place.
